Property Management Project Administrator (Insurance and Tenant Improvements)

We are seeking a detail-oriented and organized individual to join our team as a Property Management Project Administrator, with a focus on Insurance, Tenant Improvements, and other Special Projects.  In this role, you will be responsible for managing the insurance requirements for our properties, as well as supporting the property management team in a variety of administrative tasks related to property management.
Responsibilities:
  • Assist in the management of property insurance policies, ensuring that all properties are adequately insured and that claims are processed and resolved in a timely manner.
  • Coordinate with insurance providers to ensure that all policies are up-to-date and provide adequate coverage.
  • Maintain accurate records of insurance policies and claims and communicate with insurance brokers and adjusters as needed.
  • Assist in the management of tenant improvement projects from inception to completion, including coordinating contractors and vendors, reviewing plans, and ensuring timely completion within budget.
  • Coordinate with property management team members to ensure that tenant improvements are in compliance with building codes, regulations, and lease agreements.
  • Prepare and maintain project schedules and timelines, updating them regularly to reflect any changes or delays.
  • Assist in the management of tenant relations, responding to tenant inquiries and complaints in a timely and professional manner.
  • Communicate regularly with tenants, contractors, and property management team members to ensure timelines and schedules are being met and any issues are addressed promptly.
  • Perform other administrative tasks as needed to support the property management team.
Qualifications:
  • Associate or bachelor’s degree in business administration, real estate, or a related field preferred.
  • 1-3 years of experience in property management or a related field.
  • Strong project management skills, with experience managing timelines and schedules.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and property management software.
